What we collect, and what we do with it

We're a twelve-site, family-run RV park. We ask for what we need to hold your site and to run the park, and nothing else. We don't track you, we don't advertise to you, and we don't sell anything about you to anyone.

What we ask for

To hold your reservation

Your name, email address, phone number, the number of people in your party, and your dates. We need these to know who's arriving, when, and how to reach you if something changes.

The park's guest application

Below the basics, the booking form carries the park's own guest application — the same questions we've always asked on paper at the office:

  • Your date of birth, and your driver's licence number and issuing state
  • The same for a spouse or co-applicant, if you're travelling with one
  • Anyone else staying with you: name, age, and how they're related to you
  • Your vehicles and your RV — make, model, year, plate, size
  • Your pets — type and breed, name, size, and whether their rabies shot is current

Filling this in online is pre-filling, not paperwork. Every one of these questions is optional — you can leave them all blank, finish your booking, and complete them with us at check-in exactly as you always would. Doing it in advance just means less time at the office when you pull in. We ask for licence details because we need to know who is staying on the property; we ask about pets because Texas requires a current rabies vaccination and because we want to put you near the right dog park.

Your card

We never see your card number. Payments run through Square. The card fields on our booking page belong to Square, not to us — your card details go straight to them and never reach our server or our database.

What we keep is the amount you paid and Square's reference number for the transaction, so we can match a booking to a payment and issue a refund if you cancel.

What we don't do

  • No tracking that identifies you. This site sets no cookies of its own, and carries no advertising or social media trackers. It does run one cookieless, aggregate page-load measurement — Cloudflare Web Analytics, from the company that secures this site's connection — which reports how fast pages load without a cookie and without identifying individual visitors. We can't tell you apart from any other visitor until you book.
  • Almost nothing loads from anywhere else. The typefaces, the photographs and this site's own code are all served from here — the typefaces used to come from Google's servers and no longer do. Two exceptions: Square's payment library, which loads from Square on the booking page so that your card details go straight to them and never reach us; and the Cloudflare page-load measurement described above. Nothing else on the site contacts another company.
  • No selling or sharing. We don't sell, rent, or trade your details, and we don't hand them to marketing companies.
  • No marketing email unless you ask us for it. The emails we send are about your own booking — your confirmation, and anything we need to tell you about your stay.

The one email we send after your stay

A day or two after you check out, we may send a single short email asking whether you'd leave the park a review. It's the only thing we send that isn't about your own booking, so it's worth being plain about how it works:

  • It goes to everyone who completed a stay — not only to guests we think enjoyed it. We don't screen for happy customers.
  • There's nothing offered in exchange for writing one. No discount, no free night, no prize draw.
  • We ask once per stay, and never again about that stay.
  • It carries no tracking of any kind — we can't tell whether you opened it.

If you'd rather not get it, tell us and we won't send it.

Who else is involved

Two companies see something in the course of running this site:

  • Square processes the payment and handles your card details directly. Square's own privacy terms cover what they do with them. Their payment library loads on the booking page, so Square's servers see your IP address when that page opens, whether or not you go on to book.
  • Our email provider carries your confirmation email, and the note asking for a review, to you — and the booking alert to the office.

The park also publishes a calendar feed for each site so listing sites like RoverPass don't offer a site that's already booked. Those feeds contain dates only — no names, no contact details, nothing about who is staying.

Who can see your details

The park's own staff, through a password-protected admin page. Nobody else has an account, and there's nothing public that shows a guest's name, email, phone, or application details.

How long we keep it

We keep your booking and payment record for as long as we need it for the park's accounts and tax records. We keep the application details for as long as you're a returning guest, so you don't have to fill the same form in twice.

If you'd rather we didn't — ask, and we'll delete them. See below.

Asking to see, correct, or delete your details

Email banderawagonwheelrv@gmail.com or call (830) 850-0805 and tell us what you'd like. We'll send you a copy of what we hold, fix anything that's wrong, or delete it.

We may need to keep a minimal payment record even after deleting the rest, because our accounts have to balance. We'll tell you if that applies to you.

Cancelling

Your confirmation email carries a link that cancels your own booking. That link is what proves it's you — your reservation code on its own isn't enough to cancel a booking or move money, on purpose. Don't forward the link to anyone you don't want cancelling your stay.

Keeping it safe

The site runs over HTTPS, the admin is behind a password, and card numbers never touch our systems at all. We're a small park, not a bank — but the most sensitive thing anyone could take from us is the one thing we never hold.

Changes

If we change what we collect or what we do with it, we'll update this page and change the date at the top.
